Why Is My Brother Printer Offline? (Real Answers from a Buyer Who Fixes This Monthly)

I manage the printers for my office. Here’s what I’ve learned.

When I took over purchasing in 2020, I thought picking a reliable brand was the end of my job. We have Brother printers across three locations—including the Brother HL-L3210CW and a couple of MFC-L2700DW units. They’re workhorses, mostly. But the questions I get from colleagues? They never stop.

I’ve consolidated orders for 400 employees, managed relationships with 8 different vendors for consumables, and learned the hard way that knowing the printer’s quirks saves the most money. I now calculate total cost of ownership (TCO) before comparing any vendor quotes. The $500 quote that includes hidden setup fees is often more expensive than the $650 one that’s all-inclusive.

This FAQ covers the real questions I see. Not the marketing fluff. The stuff that makes you want to throw the machine out the window.

[Q1] Why does my Brother printer say offline?

This is the number one call I get. It’s tempting to think it’s a hardware failure. But for our three Brother units (specifically the HL-L3210CW and MFC-L2700DW), it’s almost always a connection hiccup.

Most buyers focus on the printer itself and completely miss the network. The vast majority of “offline” errors are caused by one of three things: the printer lost its IP address, the computer’s print spooler is jammed, or a power-saving mode has put the device to sleep.

The quick fix I use every time: First, check the printer’s display for its IP address. Then, on your PC, go to “Devices and Printers,” right-click the printer, and select “See what’s printing.” If nothing is stuck, go to “Printer Properties” and click “Ports.” Verify the IP address matches. If not, delete the port and add a new one using the printer’s IP. Nine times out of ten, that’s it (thankfully).

[Q2] My Brother HL-L3210CW has a color misalignment. Do I need a new printer?

No—or rather, not yet. The “printer is broken” thought is the classic beginner error. In my first year, I almost replaced a perfectly good laser printer because the colors were blurry. Cost me a $400 service call to learn it was an alignment issue.

The Brother HL-L3210CW and similar color lasers have a calibration process. You can usually find it in the printer’s settings menu under “Maintenance” or “Calibration.” Run it. If the problem persists, check your toner cartridges. A low or unevenly distributed toner cartridge can cause banding. I should add that using compatible (non-Brother) toner can sometimes cause this. I’ve seen it myself.

The question everyone asks is: “Is the printer dying?” The question they should ask is: “Is the calibration data corrupted?”

[Q3] How do I reset the drum unit on my Brother MFC-L2700DW?

This is a common one because the printer tells you the drum is “near end of life” when it still has plenty of pages left. The Brother MFC-L2700DW uses a separate drum and toner (unlike some all-in-one units). If you’ve just replaced the toner and it still won’t print, you probably need to reset the drum counter.

They warned me about this risk—I didn’t listen. The “cheap” toner cartridge ended up costing me 30% more in troubleshooting time because I hadn’t reset the drum properly.

Here’s how: Open the front cover. Press and release the “Clear” or “Back” button. You’ll see a message asking “Reset Drum?” Press “1” to confirm. Close the cover. Simple, but if you skip the “Clear” step, it won’t work. (Ugh, I learned that the hard way.)

[Q4] Should I buy original Brother toner or a cheaper compatible brand?

The answer isn’t simple. I used to think I could just compare unit prices. But identical specs from different vendors can result in wildly different outcomes. “Cheap” toner can lead to lower page yields, smudging, or even damage to the drum unit over time.

I now calculate TCO: The $40 compatible cartridge might seem like a steal, but if it causes the $80 drum to fail 1,000 pages early, you’ve lost money. Plus, there’s the time cost of dealing with the issue, reporting it to finance, and ordering a replacement.

I’ve found that for high-volume machines like the MFC-L2700DW, sticking with original Brother toner is usually cheaper over the life of the machine. For a secondary printer with low usage, a high-quality compatible might be fine. (Should mention: I always check for the “Brother Genuine” seal to avoid counterfeits.)

[Q5] How often do I need to wash my water bottle?

Wait—that’s not a printer question. But since you asked, the general consensus among health experts is that you should wash reusable water bottles after every use with soap and hot water, or at least daily. I add this because it’s the kind of random question my colleagues ask while I’m fixing the printer. If you don’t clean it, bacteria can build up. (Ugh, I know.)

[Q6] How do I connect my Brother printer to a new Wi-Fi network?

If your office moves desks or changes networks (which happens more often than you’d think), you’ll need to do this. Skipping the WPS (Wi-Fi Protected Setup) method because it “never matters” was the one time it mattered for me. We moved 40 people to a new floor, and I assumed all printers would auto-connect. They didn’t.

For most Brother models (including the HL-L3210CW): Press the Wi-Fi button on the printer. Use the arrow keys to find “Setup Wizard.” It will scan for networks. Select yours and enter the password using the keypad. Yes, it’s tedious. For a faster method, use the WPS button on your router: press the WPS button on the printer, then the WPS button on the router within 2 minutes. The printer should connect automatically. (Not that I’ve ever gotten it to work on the first try—surprise, surprise.)

[Q7] My Brother printer is printing blank pages. What’s wrong?

This is a classic “panic” moment. The first thing is to check the toner level. If it’s low, that’s your answer. But what happens to me most often is people buy incompatible ink or toner. Per FTC guidelines as provided by ftc.gov, advertising claims must be truthful and not misleading. If a compatible cartridge says “works with Brother,” that’s one thing. If it says “guaranteed to work like original” without evidence, be skeptical.

I only believed this after ignoring it and eating a $600 mistake buying a batch of “cheap” toner that turned out to be filled with powder residue. The “cheap” option wasn’t cheap at all.
